Job Description

The University of Nevada, Las Vegas invites applications for Administrative Assistant 3, Greenspun College of Urban Affairs [R0146805].

ROLE of the POSITION

Communicate and collaborate with incoming guests. Front office face – manage incoming and outgoing documents for signature/approval/processing. Track in/out, archive, and move documents forward as necessary.

Monitor college email and physical mail.

Communicate and collaborate with faculty to assist with:

  • Office supplies

  • Book orders

  • Copies

  • Inputting grades

  • Course permissions

  • Collecting syllabi

  • Catering requests

  • Key requests

  • Part time instructors / onboarding / canvas

  • Reserving meeting spaces

Communicate and collaborate with the Academic Resource Manager:

  • Managing office and department purchases

  • Entering student workers hours if needed

  • Maintain updated degree directories

  • Inventory control, surplus, annual asset management survey

  • College spaces, reserving class/meeting rooms, office spaces

  • Archibus – annual space survey

Answer general student/faculty questions

Maintain calendars:

  • Conference rooms

  • College-owned spaces (Auditorium and meeting spaces)

  • Dean, Executive Dean, and Associate Dean

Communicate and collaborate with undergrad and graduate coordinators in each unit to assist with faculty and student needs

Other duties assigned

MINIMUM QUALIFICATIONS

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas:  maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

SALARY

Grade 27, Step 1, salary $46,207.44.  "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
